Asfalttikallio

Financial management system renewal transformed the way Asfalttikallio works

About the organization
Asfalttikallio Oy is a Finnish company founded in 2012 that specializes in high-quality asphalt paving and earthworks services. The company operates nationwide, serving businesses, the public sector, housing companies, and private builders.

Asfalttikallio overcame its financial management bottlenecks by replacing its legacy financial management system with NetSuite. The new solution has become the central source of business-critical information, automating everyday tasks and improving data reliability. Thanks to the successful system renewal, manual work has been significantly reduced and the month-end closing time has been cut by approximately half.

Asfalttikallio provides a wide range of road paving services across Finland. Its business is seasonal and project-based. During the peak season, which runs from spring until late autumn, the company delivers a large number of projects. Each project is monitored closely, down to individual project-level cost allocations.

Having grown through corporate transactions, Asfalttikallio previously used Visma L7 for financial management, a system that was nearing the end of its lifecycle. After evaluating several technologies and vendors, Asfalttikallio decided to replace L7 with NetSuite, delivered by Digia.

“The old system no longer supported the way we work. We have a large number of projects combined with a very detailed level of tracking, and that combination created challenges. When comparing different solutions, NetSuite impressed us with its flexibility and scalability. With Digia, it was the people who convinced us,” says Noora Jansson, Business Controller at Asfalttikallio, who acted as the company’s project manager during the implementation.

We worked on this together with the same goal in mind. The Digia team challenged us to consider whether something was really necessary right now, and we challenged them to think outside the box. The open atmosphere helped us create the best possible solution.

Key benefits

  • Automation and consistent, single-source master data
  • Faster month-end closing and more efficient reporting
  • More flexible project tracking
Technologies used
  • NetSuite
  • Digia Dolphin
  • Microsoft Azure

NetSuite automates processes and serves as the master system for critical information

In Asfalttikallio’s solution, NetSuite serves as the master system for all business-critical information. Data is either created in or imported into NetSuite and then distributed to other applications.

Many everyday financial management tasks can now be completed without labor-intensive manual processes. Digia Dolphin, Digia’s AI and automation solution, creates projects in NetSuite, from where the same structure is distributed to other information systems through integrations. NetSuite also receives financial transaction data from other applications and streamlines background checks using external systems.

NetSuite also enables Asfalttikallio to submit employee and contract reports to the Finnish Tax Administration from a single system. A recurring monthly task that previously required considerable time can now be completed within one working day at most.

“A project is created once in NetSuite, and the information is then transferred in the same format to other systems. Automated register checks may not be immediately visible to an outsider, but they used to involve slow manual work and now run automatically in the background,” Jansson says.

Month-end closing time cut by approximately half

The system renewal has significantly changed the way Asfalttikallio works. Manual work in financial support functions has been considerably reduced, freeing up time for other tasks and reducing the risk of human error. Identifying deviations and missing information no longer relies on people remembering to check them, as the system brings reminders directly to the relevant users’ workspaces. At the same time, according to Jansson’s estimate, the month-end closing time has been cut by approximately half.

For the company’s management, greater efficiency and improved data accuracy have also made business monitoring and forecasting more reliable and dynamic.

“Investigating and correcting issues is like night and day compared with the old system. This also has a significant impact on data quality and, consequently, on reporting,” Jansson says.

Close collaboration and open communication ensured a successful outcome

The project was made more challenging by the fact that the implementation began during Asfalttikallio’s peak season. In addition, the organization wanted to migrate a vast amount of historical data to the new system. Careful project planning and effective collaboration ensured that neither became an obstacle.

According to Jansson, the key to success was close, low-threshold communication and a flexible division of responsibilities between the teams. The commitment of Asfalttikallio’s team to the project was equally important.

“We worked on this together with the same goal in mind. The Digia team challenged us to consider whether something was really necessary right now, and we challenged them to think outside the box. The open atmosphere helped us create the best possible solution.”

The collaboration continues, with AI becoming a more integral part of workflows

The collaboration with Digia continues through regular discussions and ongoing incremental development. Current development areas include making broader use of both NetSuite’s native AI capabilities and AI functionality developed by third parties.

“Digia is the kind of partner you feel comfortable asking questions and discussing ideas with. Without open dialogue and constructive challenge, you cannot get the full value from a system. It is important to have a partner who understands modern technologies and with whom you can explore new opportunities,” Jansson says.
