Dozens of Hours Less Manual Work with Dynamics 365 Business Central

UFF is a Finnish circular economy operator and a charity organization working in climate action and development cooperation. The organization manages a nationwide clothing collection service and nearly thirty stores selling recycled clothes from Helsinki to Oulu. In addition, it plays an important role in raising awareness about circular economy and environmental issues.

In 2023, UFF decided to renew its financial management applications. The goal was to replace end-of-life point solutions with a comprehensive system that would support efficient workflow management and reduce manual work.

Through a competitive bidding process, the chosen solution was Microsoft Dynamics 365 Business Central and the DaaS (Data-as-a-Service) reporting service delivered by Digia.

Dynamics 365 and DaaS Reporting Service Met the Organization’s Needs

According to Chief Accountant Kristiina Vuorimies and HR Development Manager Tiina Kuusela, the selection criteria emphasized a high level of automation, workflow functionalities, and integrability. Reporting was also expected to become more automated and better support the operations of UFF’s various departments.

D365 Business Central met the organization’s functional requirements, while the accompanying DaaS solution promised to address reporting challenges. Digia’s team also had the expertise to accommodate UFF’s specific needs, such as diverse VAT practices.

“The delivered solution largely met our expectations and created a foundation for further development, which we are still working on,” says Vuorimies.

Significant Time Savings by Reducing Manual Work

The benefits achieved through the project have been substantial. Manual work in finance and HR management has decreased, and for example, paper archiving has almost entirely been eliminated.

The most notable time savings, however, have been in weekly reporting. Reports that were previously compiled manually in finance are now generated automatically from accounting data, and different departments can independently meet their reporting needs.

Other areas have also seen significant improvements.

Strong Project Management Supported Completion

The system project began in early 2024, and the first phase of implementation was completed in June of the same year. The DaaS reporting solution was deployed in early 2025. 

Both Vuorimies and Kuusela praise Digia’s team for their precise project management throughout the process. 

“This was a major change for us, as in addition to financial systems, we also renewed payroll and expense/travel claim software. Digia helped ensure we stayed on schedule with the implementation, even though some original plans had to be adjusted,” Vuorimies says. 

Trust in Digia’s Team Was Established Immediately

Trust in Digia as a partner was built right at the start and only strengthened as the project progressed. Vuorimies and Kuusela emphasize that they never had to struggle with challenges alone—Digia’s team was always ready to provide help and support when needed.

Although the benefits have been significant, UFF believes efficiency can still be improved. System development has continued with smaller enhancements even after the project phase.

“We have been extremely satisfied with our collaboration with Digia and believe it will continue for a long time, both in further development and support services,” Vuorimies says.
