Managing the finances of ten companies and improving field operations with Dynamics 365

  • A unified platform improved visibility and control: VSV Group replaced fragmented systems with a Dynamics 365 solution that brought financial and operational data from ten companies into one platform and enabled near real-time visibility.

  • Improved work management accelerated cash flow: With Dynamics 365 Field Service, work orders, time entries, and material data are now available in near real time, improving efficiency and speeding up invoicing.

  • A strong foundation for data, automation, and AI: The new solution delivers immediate business value while creating opportunities for more advanced reporting, automation, and AI-driven business development in the future.

VSV Group consists of six operating companies and several associated companies, all of whose financial management is handled by the group organization. The transformation became necessary as the company’s previous financial management system was reaching the end of its lifecycle and no longer met evolving business requirements. At the same time, the work management and materials management solutions used by Vertek, the group company providing network construction services, and its subsidiary Vertek Electrical Services, were considered inadequate.

The fragmented system landscape also made it difficult to gain a comprehensive overview of the group's operations and financial performance. Real-time visibility was not available.

To address these challenges, VSV Group decided to replace its financial management system with Microsoft Dynamics 365 Business Central and implement the connected Dynamics 365 Field Service solution for work and resource management.

“The decision to modernize was driven by several factors, and it proved to be the right choice,” says Antti Jyväkorpi, Development Director at VSV Group.

From a work management perspective, the improvement has been substantial. We now have much better visibility into project status and materials management, and our operations have become more efficient. Employees have also embraced the solution, and we have received very little feedback, which is usually a good sign.

Key benefits

  • Near real-time visibility into projects and financial performance: hours, materials, and services recorded in the field are transferred directly into the system without delay, significantly improving monitoring and decision-making.

  • Faster cash flow through more efficient and accurate invoicing: delays of several days or even weeks have been eliminated, enabling up-to-date invoicing and accelerating the cash conversion cycle.

  • Less manual work and greater efficiency: at Vertek, paper-based processes and manual data entry were replaced with a digital work management solution, freeing up time for higher-value activities.

A comprehensive business management platform built on Dynamics 365

The Dynamics 365 solution delivered by Digia is now one of VSV Group’s key business systems. It supports the financial management of ten companies and the operational management of two business units.

The two systems work seamlessly together. For example, projects created in Business Central are automatically transferred to Field Service as work orders. Time entries and material usage recorded in Field Service are then transferred back to the corresponding projects in Business Central.

In addition, Digia provides its DaaS (Data as a Service) reporting solution, which is used for financial reporting and is expected to play a growing role in supporting business decision-making.

Delivering value from day one

VSV Group has been highly satisfied with the delivered solution. Financial information is now easier to access, and having all companies on the same platform has significantly improved visibility, control, and operational efficiency.

“Moving to Business Central has made life much easier because all information is now available in one place. And now that Vertek’s operations are managed through Field Service, we can access their figures much faster than before,” says Janina Tala, Financial Controller at VSV Group.

The most significant improvement has been seen at Vertek and Vertek Electrical Services. Work can now be managed directly through the system, and information on work hours and materials is available in near real time instead of after a two-week delay. This has resulted in more efficient invoicing and faster cash flow.

Vertek’s field technicians actively participated in defining the work management solution, and user experience was a key focus throughout implementation.

“From a work management perspective, the improvement has been substantial. We now have much better visibility into project status and materials management, and our operations have become more efficient. Employees have also adopted the solution very well,” says Rauli Hietaniemi, the Field Service key user.

Digia supported the project throughout the journey

The delivered solution was exceptionally extensive for a Dynamics 365 Business Central implementation. As a result, significant effort was invested in the design and testing phases. This proved worthwhile, as the phased go-lives were completed smoothly and without issues.

The project steering group has been highly satisfied with both the implementation and Digia’s team. Collaboration remained close throughout the project, supported by Digia’s expertise, proactive communication, and deep product knowledge, particularly in integrating Business Central and Field Service.

“Throughout the project, we felt that Digia genuinely wanted to be our partner. They were interested in our business and wanted to build a solution that truly met our needs,” says Jyväkorpi.

Unlocking the full potential of the new platform

The implementation of the solution is only the beginning.

According to Jyväkorpi, now that the core processes are in place and delivering value, the next step is to further develop management reporting using the accumulated data, while expanding the use of automation and AI capabilities.

“Looking at the bigger picture, the greatest benefits are still ahead of us. However, we believe we now have the right foundation to pursue those goals. Our collaboration with Digia will continue.”
